Privacy Policy

NORM Coach is a service operated by NeuroSpire Labs, Inc. ("we", "us", "our"). It is a platform independent coaches, counselors, and licensed clinicians use to run their own practices. This policy explains what data we collect when you use norm-coach.com or the platform, why we collect it, and the choices you have.

This is the most important thing on this page, so it comes first.

Your practice is yours. The clients you bring to NORM Coach are your clients, not ours. Their records, notes, assessment results, and messages belong to your practice, and we hold them on your behalf so that you can deliver your service. We do not market to your clients, we do not sell their data, and we do not use their assessment responses for advertising.

For data about you — your account, your billing, how you use the platform — we act on our own behalf, and the rest of this policy applies.

• Account data — your name, email, password (hashed), and authentication tokens.
• Practice data — your branding, site content, programs, pricing, and the client records and notes you create.
• Assessment responses — answers to the NRSI and related instruments. These are sensitive and we treat them accordingly.
• Usage data — pages viewed, features used, device and browser metadata, and approximate location derived from IP address.
• Communications — messages you send us by email or through forms on this site.
• Payment data — handled by Stripe. We do not store card numbers. When you connect a Stripe account to take payments, Stripe holds that relationship and we receive only account status and transaction metadata.

We use your data to:

• Run the platform and deliver the features your plan includes.
• Process your subscription and, where applicable, the payments you take from your own clients.
• Improve the product — anonymized and aggregated wherever possible.
• Communicate with you about your account, and (only when you opt in) about anything else.
• Comply with legal obligations and protect the integrity of the service.

We share data only in these cases:

• With service providers who run infrastructure on our behalf — hosting, email delivery, analytics, payments. They are bound by contract to use the data only for our purposes.
• Where you direct it — for example, an integration you connect or a referral you ask us to make.
• For legal compliance — if required by law, subpoena, or to prevent fraud or harm.

We do not sell personal data, yours or your clients'.

Data is encrypted in transit. Access is limited to the people who need it to operate and support the service. No system is perfectly secure, so we also keep the amount of data we hold to what the product actually needs.

If you use NORM Coach in a practice that handles protected health information, talk to us before you do — the handling and the agreements that go with it are not automatic, and we would rather have that conversation early.

• Access and correction — review or update your account data at any time.
• Export — ask us for your practice data and we will provide it.
• Deletion — email us and we will remove your account and associated data, subject to legal retention requirements.
• Email preferences — every marketing email has an unsubscribe link; transactional emails are required to operate the service.
• Cookies — your browser lets you block them; some features may not work without them.

NORM Coach is not intended for anyone under 18, and we do not knowingly collect data from children.

If we change this policy in a material way we will notify you by email or in-app message. Continued use after the change means you accept the updated policy.
